Job Title: Back Office Assistant Job Summary: The Back Office Assistant is responsible for providing comprehensive administrative and clerical support to ensure the efficient operation of the office. This role involves handling various tasks such as data entry, managing records, assisting with the preparation of reports, and supporting other staff members. The ideal candidate is organized, detail-oriented, and capable of managing multiple tasks simultaneously. Key Responsibilities: Administrative Support: Perform general office duties such as answering phones, directing calls, and responding to emails. Assist in scheduling appointments and meetings, maintaining the office calendar. Manage office supplies inventory and place orders when necessary. Data Management: Accurately enter and update data in various systems and databases. Maintain and organize both electronic and physical files. Ensure data integrity and confidentiality. Document Preparation: Assist in preparing and editing documents, reports, and presentations. Handle correspondence and documentation as directed by management. Financial Support: Assist with basic bookkeeping tasks such as invoicing and expense tracking. Prepare and process invoices, expense reports, and other financial documents. Operational Support: Support the coordination and implementation of office procedures and policies. Assist in the preparation and distribution of internal communications. Help with the organization and execution of company events and activities. Customer Support: Handle customer inquiries and provide information as needed. Direct clients to appropriate personnel for further assistance. Miscellaneous: Perform other duties as assigned to support the efficient operation of the office. Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). Strong organizational and multitasking abilities. Excellent verbal and written communication skills. Attention to detail and problem-solving skills. Ability to work independently and as part of a team. Physical Requirements: Ability to sit for extended periods. Occasionally lift office supplies or equipment up to 20 pounds. Working Conditions: Office environment with occasional requirements to work extended hours.
